Administrative Assistant

Although we currently have no administrative openings, OLFT is always on the lookout for receptionists, office assistants, billers, schedulers, and other administrative assistants.

Administrative Assistant Requirements:

  • Two years of reception experience (or equivalent customer-related ability)

  • Prior administrative office management experience

  • Proficient in Microsoft Office, specifically Excel, Word, Publisher, and PowerPoint

  • Knowledge or ability to learn other practice management software; such as SimplePractice, Trello, Gusto, Gmail, Spruce, etc.

  • Excellent oral and written communication skills

  • Excellent customer relationship skills

  • Access to a smartphone with privacy protections

  • Capability to download onto smartphone and utilize office-related apps


Administrative Assistant Functions:

  • Answering, assisting, and directing all incoming telephone calls to appropriate parties in a timely, professional and courteous manner

  • Performing related clerical work such as typing, filing, and sorting mail distribution

  • Using applicable software programs to create or perform business-related tasks

  • Checking insurance eligibility, deductibles, co-insurance, and copays for new patients

  • Scheduling new patients and sending them intake links

  • Reviewing patient files to assure all intake and billing documents are current

  • Providing other administrative support when needed

  • Managing, ordering, or requesting office supplies when needed

  • Performing cleaning/sanitizing of office and workspace to protect self and others

  • Performing other duties as assigned


Compensation & Benefits:

  • Starting Pay - $18-22/hour, depending on education and experience

  • 40 hours paid sick leave per year

  • PT: unpaid vacation time available, depending on operational need, FT: paid time off after first year

  • Additional unpaid vacation leave (with Clinical Director approval)
